How to automate WhatsApp customer service with AI (step by step)

Most WhatsApp questions are the same twenty questions asked all day. Here is how to let an AI answer them from your own information, while your team keeps the hard ones.

The short answer

Connect your WhatsApp number through Meta's official WhatsApp Business Platform (or a QR link for low volume), give an AI assistant your products, prices and policies, write clear rules for when it hands a chat to a person, test it in private, switch it on, then review conversations every week and fill the gaps.

What does automating WhatsApp customer service actually mean?

It does not mean a menu that says "press 1 for prices". A modern setup uses an AI assistant that reads the customer's message, finds the answer in information you gave it, and replies in plain words, in the customer's language. When it should not answer, it passes the chat to a person.

The difference from a classic rule-based chatbot is that you do not script every path. You give it facts and rules. The quality of the answers depends almost entirely on how good those facts and rules are, which is why most of the steps below are about preparation, not technology.

  • Good to automate: prices, stock, sizes, delivery areas and times, opening hours, order status, return policy, booking a time.
  • Keep with people: refunds and disputes, angry customers, custom quotes, anything legal or medical, and any request the AI is unsure about.

Step 1: Which WhatsApp connection should you use, official API or QR?

An AI needs a way into your WhatsApp number. There are two routes. Meta's official WhatsApp Business Platform (often called the WhatsApp API) is the supported way for software to send and receive messages. A QR link connects the number you already use, the same way WhatsApp Web does. It is quick, but it is unofficial.

For a business that depends on WhatsApp, choose the official route. Use QR only to try things out or for low volumes, and accept that WhatsApp may restrict numbers that send heavy volumes this way.

Step 2: How do you teach the AI your products, prices and FAQ?

Write down what your best employee knows. Start with the questions you answer most often: scroll your WhatsApp chats from the last month and copy the top questions into one document with the correct answer next to each.

Prices and stock deserve special care. The safest setup keeps them in a product list the AI reads from, so it quotes the real number instead of guessing. In Yusr, for example, prices and stock come from your catalogue, never from the AI's memory, and you can load products from a CSV file.

  • A price list or catalogue with sizes, colours and stock.
  • Delivery: cities, costs, how many days, cash on delivery or not.
  • Policies: returns, exchanges, warranty, payment methods.
  • Your FAQ document, plus your opening hours and branch addresses.
  • Tone: a few real replies you are proud of, so it writes like you, in your dialect.

Step 3: When should the AI hand a chat to a person?

Hand-over rules protect your customers and your reputation. Write them in plain words, decide who receives each kind of chat, and make sure the person sees a short summary so the customer does not have to repeat themselves.

Also write the limits: what the AI must never do. Common ones are inventing prices, promising delivery dates you cannot keep, discussing competitors and sending outside links.

  • The customer asks for a refund or a manager.
  • The customer is upset or complains twice.
  • The order is above a value you choose.
  • The question is not covered by your information.
  • The customer asks to speak to a human. Always honour this.

Step 4: How do you test a WhatsApp AI before customers see it?

Never test on real customers. Use a test chat, or a second phone, and try to break it. Ask the questions customers really ask, in the way they ask them: short, misspelled, in dialect, as a voice note, with a photo of a product.

  • Ask for a price that is not in your list. It should say it will check, not guess.
  • Ask the same question in Arabic and English.
  • Ask for a refund and confirm the chat reaches the right person.
  • Place an order and check that the total is correct before you confirm.
  • Send a voice note and a photo, and check the reply makes sense.

Step 5: How do you go live without losing customers?

Start small. Switch the AI on for one number, keep your team in the same inbox, and read every conversation for the first week. Anyone on the team should be able to pause the AI on a chat and reply themselves.

Decide what happens outside working hours. If the AI covers the night, tell your team which chats it will leave for the morning. If you keep a channel for people only, set business hours and a short greeting that tells customers when you will reply.

  • Week 1: AI on, every chat reviewed, gaps added to your information daily.
  • Week 2: review once a day, tighten the hand-over rules.
  • After that: a weekly review of unanswered questions and handed-over chats.

Step 6: How do you know the automation is working?

Measure a few numbers before and after, and read real chats. A drop in waiting time is the first thing customers feel. Fewer hand-overs over time means your information is getting more complete.

  • Time to first reply, especially at night and on weekends.
  • Share of chats resolved without a person.
  • Questions the AI could not answer, which become your next FAQ entries.
  • Orders or bookings that started in WhatsApp.
  • Customer ratings after a chat is closed.

What does it cost to automate WhatsApp customer service?

There are usually two bills. The first is the software that runs the AI. Yusr, for example, has a free plan with 10 conversations a month and paid plans from $49 a month, where a conversation is one customer over a 24-hour window however many messages they send.

The second is Meta, if you use the official platform. As of October 2026, Meta's pricing page says it charges per delivered message, by message type and the customer's country. Template messages, which you need to message a customer first or after 24 hours of silence, are charged. Each business number also gets 1,000 free service messages a month, which do not roll over; from October 1, 2026, service messages beyond that are charged. Add a payment method in Meta's Billing Hub so replies keep flowing, and check the rate card for your country.

Questions people ask

Is a WhatsApp auto reply the same as an AI chatbot?

No. The auto reply built into the WhatsApp Business app sends a fixed greeting or away message. An AI assistant reads each message and answers the actual question from your information, then hands over to a person when needed.

Will customers know they are talking to an AI?

Be open about it. Customers mostly care about getting a correct answer fast and being able to reach a person. Make that easy by honouring every request to speak to a human.

Can an AI answer WhatsApp voice notes?

Many tools can. Yusr transcribes every voice note on every plan so the AI and your team can read it, and on Basic and above it can answer a voice note with its own voice note.

Do I need a developer to automate WhatsApp?

Not for the basics. Connecting a number, uploading your price list and writing rules is done in the app. You need a developer only if you want the AI to talk to your own systems, such as an order database.

Will I lose my WhatsApp number if I connect it to an AI?

With Meta's official platform, the number stays yours. A QR link uses your existing number too, but because the method is unofficial, WhatsApp may restrict numbers that send heavy volumes.
