How fast should you reply on WhatsApp? How to measure and cut your response time

Every shop owner knows slow replies lose sales. Few know how slow theirs really are. Here is how to measure it in an afternoon, with nothing but your chat history, and what to change.

The short answer

Reply on WhatsApp while the customer is still deciding: ideally within minutes, and always well inside the 24-hour window. Measure two numbers from your own chats: first response time (until any reply) and time to resolution (until the answer that ends their need). Cut them by preparing answers to repeat questions and covering after-hours messages.

How fast should a business reply on WhatsApp?

There is no single number that fits every shop, and be careful with articles that quote one. What matters is simple: a customer asking about price or stock is ready to buy now. The longer they wait, the more likely they ask someone else.

A practical target is to give a useful answer while the customer still has the chat open, which usually means minutes, not hours. The real goal is to know your own number, lower it, and check whether more orders follow.

What is response time, and why is one number not enough?

Most shops time one thing: how long until somebody typed something. That number alone hides the damage. If a customer asks "how much is this?" and a reply comes four hours later asking "which one do you mean?", the customer may already have bought elsewhere before the real answer arrives. You need two measurements.

  • First response time: from the customer's message to the first reply leaving your side, whoever writes it.
  • Time to resolution: from the customer's message to the reply that actually ends their need, such as the price, the stock answer, the appointment or the confirmed order.

How do you measure your WhatsApp response time?

You do not need a tool to start. One afternoon with your chat history is enough.

Why fifty? You are looking for a pattern, which hour and which question, not writing a report for anyone else. Fifty conversations show the pattern clearly, and counting a thousand by hand simply will not happen.

  • Open the last seven days and take a sample of 50 conversations. Do not try to count them all.
  • For each one, note four things: the time of the customer's first message, the time of your first reply, the time of the last message, and whether it ended in an order.
  • Subtract the first time from the second for first response time, and from the third for time to resolution.
  • Sort the conversations by the hour they arrived. Many shops find most of the delay sits in two or three hours a day.
  • Divide the conversations that ended in an order by the total. This is your conversation-to-order rate, the number to compare after any change.

When do customers wait the longest?

Split your sample into messages that arrived during working hours and messages that arrived outside them. People often ask in the evening, when they are free and thinking about buying, which is exactly when nobody is at the phone. Prayer times, lunch and closing time can also show up as gaps.

Put the results in a small table like this one. It turns a vague feeling ("we are slow") into a clear task.

MeasureHow to calculate itWhat it tells you
First response timeYour first reply minus the customer's first messageHow long customers wait before hearing anything
Time to resolutionThe answer that ended their need minus their first messageHow long you kept a ready buyer waiting
After-hours shareMessages outside working hours divided by all messagesHow much of the problem is about hours, not effort
Conversation-to-order rateConversations ending in an order divided by all conversationsWhether faster replies are turning into sales

How can you reply to customers faster on WhatsApp?

Speed usually comes from preparation, not from typing faster. Start with the changes that remove the most waiting.

  • Collect the ten questions customers ask most and write one complete answer for each, with prices and conditions.
  • Save those answers as quick replies. The WhatsApp Business app lets you create shortcuts for messages you send often.
  • Set an away message for after hours, so customers know when you will reply instead of wondering.
  • Use labels to mark chats that need follow-up, so nothing waiting gets buried.
  • Staff your real peaks first, using the arrival hours from your sample.
  • If you need time to check something, send a short reply right away ("Got it, checking stock now") and the full answer after.

Does WhatsApp's 24-hour window affect your response time?

Yes. On WhatsApp's official Business Platform, a customer's message opens a 24-hour customer service window. Inside it you can reply normally. Outside it, Meta only lets you reach the customer with an approved template message, and template messages have their own fees.

A slow reply is therefore not just a lost sale. If you answer a day later, you may need a template just to restart the conversation. Check Meta's current WhatsApp pricing page before planning around costs, because Meta updates it.

Where does an AI employee fit in?

Preparation and quick replies help when someone is at the phone. For the hours when nobody is, an AI employee can answer the repeat questions, take the order and leave the hard cases for your team in the morning.

Yusr answers WhatsApp day and night from your own prices, products and policies, in the customer's language, and hands a conversation to a person with a summary when it should. In its inbox, ready views such as "awaiting reply" and "needs a human" show who is still waiting, saved replies are a / away, and customers can rate a resolved chat from 1 to 5. But do not wait for a tool to start: take the fifty-conversation sample this week.

Questions people ask

What is a good WhatsApp response time?

There is no universal figure. Aim to give a useful answer while the customer is still in the chat, usually minutes, and never let a buying question sit for hours. Then measure your own number and improve it.

What counts as first response time?

The gap between a customer's message arriving and the first reply leaving your business, whoever or whatever writes it. Measure it next to time to resolution, which ends only when the customer has what they asked for.

Is a fast reply better than a complete one?

A quick acknowledgement beats a long silence followed by a perfect answer. Customers accept the detail arriving second; they rarely accept being ignored first. Just make sure the full answer follows soon.

Do automatic replies count as a response?

An away message or greeting tells the customer you got their message, which helps. But it does not answer their question, so do not count it toward time to resolution. Track when the real answer arrived.

What happens if I reply after 24 hours on WhatsApp?

On the official WhatsApp Business Platform, the customer service window closes 24 hours after the customer's last message. After that you can only message them with an approved template, which Meta charges for.
